Healthcare Facility Manager Position Summary
The Facility Manager is responsible for overseeing all facility operations, maintenance, compliance, and leasing-related functions within SMIL’s medical office buildings and outpatient healthcare environments. This role requires a strong working understanding of leasing healthcare space, including medical office lease structures, tenant improvement coordination, and regulatory considerations unique to clinical settings.
The Facility Manager plays a critical role by ensuring facilities are safe, compliant, operationally efficient, and aligned with lease obligations—ultimately supporting uninterrupted, high-quality patient care.
Healthcare Facility Manager Detailed Responsibilities
Healthcare Leasing & Management
- Support leasing medical office space, including lease execution and space readiness
- Interpret and administer healthcare lease provisions, including landlord and tenant responsibilities related to maintenance, utilities, CAM charges, and specialty systems
- Coordinate and oversee tenant improvement (TI) projects for facilities, ensuring compliance with lease terms and healthcare regulations
- Serve as the primary point of contact for lease-related operational matters
- Partner closely with leasing brokers, property management, legal teams, architects, and contractors
Facility Operations & Compliance
- Oversee janitorial contracts, security systems, and preventive maintenance of outpatient facilities
- Coordinate with property managers to upkeep building systems, including HVAC, electrical, plumbing, and life-safety systems that support clinical environments
- Conduct routine inspections with each clinical site manager to identify maintenance needs, safety issues, and compliance gaps
- Ensure compliance with healthcare, life-safety, and building regulations
- Coordinate emergency response procedures and after-hours support as needed
- Maintain documentation related to inspections, maintenance activities, warranties, and contracts
- Coordinate insurance claims when needed
Vendor, Project & Financial Management
- Manage vendors and contractors with healthcare facility experience
- Oversee capital projects and TI work while minimizing disruption to clinical operations
- Track common area maintenance (CAM) expenses in alignment with lease agreements
- Assist with CAM reconciliations and cost recovery documentation
- Review monthly lease invoices for support and approval
Preferred Experience
- Experience managing Medical Office Buildings (MOBs) or outpatient healthcare facilities
- Familiarity with healthcare construction, renovations, and phased projects in occupied clinical spaces
- Experience with lease abstraction tools or property management systems
Working Conditions
- Primarily on-site at healthcare office facilities
- Occasional after-hours availability for emergencies, tenant move-ins, or critical repairs
- Regular walking of facilities and visual inspections of clinical and common areas

Requirements
Healthcare Facility Manager Required Qualifications
- Bachelor’s degree in Facilities Management, Property Management, Healthcare Administration, or a related field, or equivalent experience
- Proven experience leasing healthcare or medical office space (required)
- Strong understanding of medical office lease structures, CAM charges, and tenant improvement processes
- Experience working directly with healthcare tenants, leasing brokers, and property management teams
- General knowledge of building systems that support clinical environments
- Strong communication, organizational, and problem-solving skills
